Our Policies

Care and Supervision Policy

The Nanaimo Little Champions Daycare ensures to provide appropriate, positive and active care and supervision to the children to meet their needs, provide them with safe environment which gives them the opportunity to learn and explore.

Following are some of the strategies to provide care and supervision to the children:

To ensure that the staff ratio is maintained to 1:8 i.e. one staff (ECE/ECEA) should only be taking care of not more than 8 children at a time. (As outlined in the Child Care Licensing Regulations)

Maintain records of enrollments and attendance on a regular basis.
To be in close proximity to children and continuously scan, monitor and count all children in care.

To ensure that parent/guardian sign children in and out of the program on the designated sign in and sign out sheet.

Being aware of unsafe play and stepping into redirect play towards a safer and positive direction.

To use direct supervision with those children that require extra support for the safety.
To do head counts before and after transitions.

The children should be given simple, clear and consistent safety rules that they can understand and follow.

To promote inclusive and successful environment for the children by using positive guidance methods.

To arrange the environment so that one can see all areas of the environment.

To eliminate any potential hazards from the site of the children.

To be available to children to facilitate negotiation, problem solving, turn taking and other conflict resolution techniques.

To be available to support children’s learning by answering questions, modelling, positively commenting and facilitating questions back about what the children are doing.

To be able to assist children if they need to leave the environment to use the washroom while maintaining the staff to child ratio, as mentioned in the Child Care Licensing Regulations.

Make sure not to leave the children unattended at any time, even in emergency situations.

The staff must communicate with each other before changing the supervision.

To be aware of the capabilities and limits of each child in the care.

To plan and prepare experiences at a time when children have appropriate supervision and will not be left unattended to do so.

To maintain scanning position when talking with children, parents/guardians and fellow ECE/ECEA.

To ensure that the First Aid Training, Criminal Record Check, and ECE/ECEA licence are up to date.


Withdrawal of Services Policy



A MINIMUM 4 WEEKS WRITTEN NOTICE is required for termination of childcare services. Even if your child does not attend during that four-week period, payment is still required.

Any fees not paid on time with regards to termination of childcare services will also be subject to daily late fees, until full payment is received. If fees are not paid, the unpaid bill will be placed into collections.



In the event of any concerns (raised by staff, parents/guardians or even children) a meeting can be scheduled to address the issues. The meeting will involve owner/operator and involved staff member and the parents/guardians involved.

The concerns will be clearly stated (ex. late payment, failure to adhere to centre policies, behavioural problems etc.) and discussed. Meeting minutes will be taken, and solutions will be sought in a non-judgmental manner.

A plan will be designed to resolve the issue. A second meeting will be scheduled to review the situation within a reasonable time frame. In the event the issue cannot be resolved to everyone’s satisfaction, a 2-week written notice of termination of services will be given.

Emergency Contact Policy
In an emergency like accident or illness to the child, if the parents are not able to reach the child immediately, the staff member will contact a medical practitioner/emergency contact number (provided by the parents/guardians) or ambulance.

PREPAYMENT AGREEMENT POLICY
All fees must be paid by Monday (or the first day of care) at drop off time for the current month of services. If payment is not received by Monday at pick-up time, a late payment fee will be applied to your account at the rate of $5 per day.

In order to ensure accurate supplies to keep the daycare running, fees need to be on time. After 3 days of late fees added to your account your care will be suspended until fees are paid.

After 3 late payments, fees may be required 2 weeks in advance, or service may be suspended. Each situation is dealt with on an individual basis. 

Full-time is defined as having access to our services on all days that we are open, Monday to Friday from 6:00AM – 2:30PM and 2:30PM – 11:00PM midnight.

Fees are due by the first day of care of each week. Fees may be paid in cash, debit or credit. A receipt for fees paid throughout the year will be provided at the end of each year for tax purposes – monthly receipts are available upon request. Fees are subject to increase with a minimum of two-week notice. 


The daycare will be closed on all statutory holidays and if any other closures are expected, for instance on non-statutory holiday days, notice will go out to parents at least 1 week in advance. 



Parents/guardians that use government subsidy to help pay for fees are responsible for renewing their authorization before it expires. If parents/guardians do not renew their subsidy claim before their previous claim expires the parents/guardians will be responsible for full fees until we receive authorization to bill the government and have received payment.

If/when we receive back payment from the ministry (for fees already paid for by the parents), we will reimburse the parents/guardians the subsidy amount. 



We do offer a family discount of 5% off your bill (excluding infant care) for families with multiple children.
